If you want to do your part as a project coordinator, then you probably see the following range of tasks as a positive challenge.

As a project coordinator, together with our trainers and supervisors, you ensure the smooth running of our projects. You are responsible for the administrative and organizational realization of the customized learning programs and of our HR consultancy assignments and a central contact person for all parties involved such as trainers, colleagues, clients and partners. We are looking for someone who can support our team full-time (100%), in Heverlee for an indefinite period of time. Part-time work is negotiable.  

A general description of your main duties are:

  • Project planning and management: develops detailed project plan, makes schedules in consultation with client and supervisors and provides necessary resources (e.g., parking, lodging, materials, etc.)  
  • Customer interaction: main scheduling point of contact for the customer on scheduling changes, ...  
  • Budget management: supports the project owner in monitoring the budget, answers billing questions, responsible for sales billing
  • Quality assurance: supports the project owner in sending out measurements and their analysis, summarizes in clear reports  
  • Reporting and documentation: prepares meetings where feedback on results, feedback, ...
  • Support in the commercial process: 1st line for new opportunities, administrative support in preparing offers,...

The person we are looking for meets the following checklist:  

  • You are analytically strong: you have the ability to decompose situations into individual components  
  • Through your critical eye, you help optimize our work processes and take initiative to make things run even more efficiently  
  • You can work in a structured way and easily set priorities
  • You easily connect with various stakeholders and have strong communication skills both face to face and over the phone  
  • You can work purposefully to deadlines that have high peaks in some periods
  • You have a good command of the MS office package and general digital skills are your own
  • Authenticity, flexibility and helping to build a positive team atmosphere are natural to you  
  • You communicate fluently in Dutch and have a good knowledge of French, both written and oral  

That may still sound a bit general, which is why we'd like to introduce you to a typical work week:  

Monday you start the day by sending out last week's invoices & completing the financial statement. Then you get to work with all kinds of questions from clients, participants & trainers in the project mailboxes. Last week we received the good news that we won an offer from a client. After lunch with colleagues, you start up this new project administratively. You read the quotation & ensure follow-up of the agreements made. You do the necessary registrations in our system, request additional information from the customer and make an initial data proposal. Meanwhile you answer all kinds of questions on the phone or put them through to the right colleagues. The day ends with a scrum with your team to deal with new opportunities & follow up current opportunities. You lead this scrum in the right direction & make sure that all opportunities are assigned a responsible person. You also register this correctly in the system.  

On Tuesday you start up with a short online scrum moment with the other project coordinators. In this, practical matters are coordinated with each other and agendas are reviewed so that telephone permanence runs smoothly that week. Then you get to work on training in a client's open offer. You make sure that the participants receive the correct practical information in time, you create & send intakes in Google Forms, you confirm locations or make necessary changes. At 12:30 it's time for lunch with colleagues. After lunch you process some registrations & evaluations for an open offer. You request the necessary attendance lists & deliver them to the client. You receive a new request through the website. You forward it to the team, deliver a reply to the person & jot it down in advance for Thursday night's scrum. You end the day by preparing for Thursday's evaluation meeting. You do this together with the project owner. You have evening duties and work until 5 pm.

Wednesday you start a little early because you have the morning commute at 8 am. Fortunately, you get to work early because you get an external trainer on the line who informs you that she will be late. You notify the client of this. An offer needs to be submitted today. You have agreed with the content manager that you will review the quotation, complete a number of administrative forms & submit the quotation on time through the necessary channels. You schedule the necessary time for this in your diary. In the afternoon you go through the mailboxes & answer questions from customers, participants, colleagues, etc. Among other things, there are a number of planning changes that you have to implement in the system. A number of clients have given feedback on your first data proposal. You will work on this & provide alternative options. Because of the morning commute, you end your day early at 16:30.

Thursday . Today some trainers come by the office. Later, have a nice lunch together. 😊 You prepare the necessary material for their upcoming trainings. At 10am you have a meeting with a client together with the project owner to evaluate the current operation. You take care of the report & brief the external consultants involved afterwards via email. At noon you will have lunch with colleagues in the bistro. A coffee & we are ready for the afternoon. You receive a phone call from an external trainer. She went to give her first session with a new client this morning. She calls you to tell you how it went. Meanwhile, you have received feedback from another client & the proposed schedule has been approved. You take care of the necessary registration in the system & prepare the order forms. The day ends with a scrum with your team to handle new opportunities & follow up ongoing opportunities properly. You lead this scrum in the right direction & make sure that all opportunities are assigned a responsible person. You also register this correctly in the system.  

Friday . In the morning, a fellow coordinator asks for help in chat. A trainer is unexpectedly sick & some participants need to be called. You do your part & with this team-effort, the task is quickly completed. Then you start approving accomplishments in the system & getting this week's invoices ready. We are also the end of the month & you check the performance of the external consultants & prepare the necessary invoices to the clients. You handle the mailboxes & make a few phone calls to clients & trainers to coordinate some things. That's how time flies.
