Student/trainee administrative support

Obelisk is an HR consulting organization that strengthens people and organizations in their learning and development processes. We organize customized training, coaching and change programs. As a student you will support our project coordinators, marketing manager and sales colleagues in the practical and administrative organization of these trajectories. We are looking for someone for the summer period who is available at least 2 days a week, with a preference for fixed days. The workplace is in Haasrode(Officenter Leuven), easily accessible by bicycle and public transport from Leuven.

What are you doing?

You will work in support of colleagues within project operation, marketing and sales. Specifically:

Project operation:

- You assist in the administrative preparation of trainings (preparing materials, collecting attendance lists, sending out intakes via Google Forms...)

- you make simple schedules

- You draft letters and confirm appointments

- You will track attendance of participants, request certificates of absence and manage performance in the database

- you are friendly to clients, participants and trainers by email or phone- you process evaluations and complete project files

- You assist with billing preparation and other administrative tasks

- you register info correctly in our systems

Marketing:

- You helpprepare visuals and format simple communications

- you support the planning and execution of social media campaigns

- You collaborate on the layout of presentations or internal communications

Sales back-office:

- You support the preparation of quotations and presentations for customers

- You assist in completing CRM data or following up on customer inquiries

Who are we looking for?

- You are pursuing a bachelor's or master's degree (for example, in psychology, communication, organizational studies, marketing, etc.)

- You enjoy working administratively and have an eye for detail

- You like structured work and are punctual

- You communicate fluently, both in writing and orally-you work independently and have the courage to ask for help when needed

- You have a good knowledge of MS Office (Word, Excel, Outlook); basic knowledge of Canva or similar tools is a nice touch

- You have a very good command of Dutch, knowledge of French is a plus
